Job Overview
As Director, Integrated Facilities Management, you will partner with the VP, Integrated Facilities Management and play a critical role in building and directing a scalable, centralized, world class facilities function – including focus areas of Preventative Maintenance, Turn Teams (MRO), and Project Teams. You will be a liaison and business partner to the Managing Directors, Directors of Operations, etc. and a subject matter expert in the areas of facilities maintenance, customer and client service, financial management, budgeting and reporting, CMMS/work order/service request systems implementation, optimization, reporting and analyses.
Roles You Will Play
Responsibilities Include
- Support compliance with Cortland standards in facility management, financial management, and operational policies and procedures
- Lead programmatic evaluation of current service request processes, tools, systems, reports, and metrics.
- Determine gaps, challenges, opportunities and improvement areas in the service request sphere, design, recommend and implement approved solutions and improvements.
- Review existing R&M service data in current systems for validity, integrity, and accuracy. Report on identified problem areas within datasets with improvement plans to salvage usable data for go-forward trend analysis.
- Determine if redesign and/or repopulation of existing service request tools (OneSite, SightPlan) are viable to serve the future state IFM goals and objectives; and if not, can improvements be made to improve data usability in the short term while final CMMS solution is identified, purchased, implemented, etc.
- Heavily involved with the thought leadership, scoping, evaluation, set up, build out, rollout, and implementation of new CMMS platform; as well as, LCAM tools and functions.
- Partner with Building Automation, IT, Procurement, Facilities, etc. to lead efforts in CMMS compatible smart sensor technology.
- In conjunction with market leaders, evaluate current SLA’s and KPI’s for R&M services delivery and determine what, if any, improvements are necessary.
- Work with Market Community Leadership, Investments, CPAT, Facilities, etc. to support due diligence efforts, asset inventory process, LCAM development, site inspections (including templates, cadence, expectations, etc.).
- Manage Facilities Coordinator for service request triage, follow up and tracking as well as vendor scheduling and coordination.
- Support centralization process and pilot programs for preventative maintenance (HVAC, water heater) and turn teams where density allows.
- Partner with Ancillary Services and Procurement regarding centralization and/or consolidation of soft-services – janitorial/housekeeping, landscaping, pest control, waste services (to include Valet Waste), etc.
- Support definition and buildout for potential IFM SME’s for inclusion in portfolio wide COE teams.
- Able to effortlessly work across teams (Cortland in-house, Cortland partners, vendors, et al) as well as up and down the org charts.
- Effectively manage an industry-leading preventive maintenance program once instituted.
- Build relationships across the organization to advance initiatives.
- Provide thought leadership and strategic vision to all Facilities-related projects.
- Challenge industry standards and optimize wherever possible.
Support Facilities And Service Teams, As Needed, Regarding
- Meet or exceed site Key Performance Indicators (KPIs); monitor Service Level Agreements (SLAs) monthly to identify potential challenges and plan corrective actions accordingly
- Assess and implement insourcing opportunities
- Optimize site service and support teams to optimize NOI
- Main ain client satisfaction with delivery of facility management services and support programs to increase customer satisfaction
- En force all company policies and training requirements regarding safe and efficient operations and work practices

Building Blocks of Success
- Stellar 10+ years’ experience in progressively responsible facilities roles
- Experience with facilities management software used in Real Estate in broader industries (i.e. CMMS systems, smart sensor technology, project planning, LCAM tools, etc.)
- Experience directing large, complex, geographically dispersed, matrixed teams including guidance, management, and development of those teams
- Nimble and adaptable leader with the ability to successfully execute at strategic, tactical, and granular levels
- Solid ability to manage project team members and advance design work
